The successful candidate will play a crucial role in ensuring the smooth operation of executive functions, coordinating projects, and facilitating communication within the organisation and with external partners.

Job Title: Assistant to the Managing Director
Unit/department: Central
Accountable to: Managing Director
Hours 35 hours a week
Salary £30K plus £4K London Weighting 

Job Summary

To provide executive support to the managing director on general administration, governance, marketing, and business development and coordinate administrative support for the wider team on HR, procurement, and general administration. Support the planning, administration, communication, reporting, and following up on the needs of the Managing Director by undertaking various tasks to support his vision, strategy, and tactics. 

You will be responsible for filtering and triaging inbound communications in accordance with business objectives and priorities and working with other departments to ensure on-time execution. The MD is passionate about diversity and inclusion and would welcome applications from underrepresented groups. 

Key duties & responsibilities

  • Act as ‘follow-up Manager’ across the Senior Leadership Team to ensure that a wide range of agreed actions are being executed
  • Assist in marketing activities, including assisting with regular thought pieces by the MD for promotion on social media.
  • Undertake research and data analysis (timesheets, financial, website analytics, etc)
  • Attend Senior Leadership Team meetings, off-site quarterly days and other strategic meetings to take notes and action points. Type notes, emails, presentations and reports; circulate and file information effectively.
  • Manage ISO, H&S, HR and BCorps systems, including annual audits and accreditations.
  • Working alongside our Sustainability Champions to identify and implement ways to reduce waste and increase efficiency throughout the business
  • Maintain administrative systems, database and Google Drive
  • Collaborate effectively with all staff, clients, and suppliers
  • Manage emails, information, and other communications; answer where possible – highlight and prioritise those that need MD attention
  • Plan and maintain MD’s calendar and recurring tasks, arrange appointments, organise and set agendas and action points for all his meetings
  • Book transport and accommodation as and when required

Qualifications and Experience

  • Previous EA experience at CEO/Director level
  • Exceptional organisational skills of self and others and ability to work without supervision
  • Maintain 100% confidentiality, demonstrate diplomacy and tactfulness
  • Use polished communication skills, both verbal and non-verbal, to influence and persuade
  • Focus on business priorities and all functions to ensure client and other stakeholder satisfaction
  • Ability to remain calm under pressure and manage conflicting priorities
  • Ability to take and record accurate notes/minutes in complex meetings
  • Accountable and committed to the task at hand
  • Constantly consider where we can ‘do better’ – be enterprising/proactive

  • Excellent communication and interpersonal skills at all levels

Working pattern

The role should be carried out during standard working hours (9-5 or 10-6). This post is unsuitable for homework. The MD works from the office five days a week, and the person is expected to attend our office on Lant Street, London, most days.
